How to Get Your MSP or IT Services Company Recommended by ChatGPT
In short: Nobody can guarantee it. In one small published test, assistants that named the tested MSP usually cited its own site; "who is best" answers leaned on sources that had already compared providers. So publish a page per industry and compliance need, show real pricing, keep directory and partner listings accurate, earn real reviews, and get consent for case studies.
For crawler access, company facts and testing basics, see AI Visibility for B2B Service Companies; this guide covers managed service providers (MSPs), IT support and IT consulting firms.
How do businesses ask AI to find an MSP?
Businesses looking for an MSP typically combine a place, an industry and a requirement, often with a trigger such as an insurance form or a contract clause, and a provider gets named when one of its pages answers the whole question.
| Question shape | Illustrative example | The page that answers it |
|---|---|---|
| Place + industry + compliance | "IT support for a dental office in Austin that knows HIPAA" | A dental IT page naming the metro area and your BAA terms |
| Cost | "How much does managed IT cost per user for a 25-person office?" | A dated pricing page |
| Service model | "Co-managed or fully managed IT if we have one IT person?" | Separate co-managed and fully managed pages |
| Trigger | "Our cyber insurer asked about MFA and backups. Who can help in Tampa?" | A cyber insurance readiness page |
| Compliance scope | "Does our MSP need to be CMMC certified?" | A CMMC page with current status and your role |
| Switching | "How do we switch MSPs without downtime?" | An onboarding page with steps and timeline |
The shapes are our reading of how buyers phrase questions, not measured data.
How to check: search one of your own industry questions and note which kinds of pages answer it. When we searched the dental example on November 6, 2026 (one search, one day), most results were MSPs' own Austin dental IT pages plus a Microsoft Marketplace listing; "managed IT services for law firms Chicago" surfaced Clio's certified-consultant directory beside MSP pages.
Which sources do AI assistants use for MSP questions?
One small test suggests that when assistants name an MSP on hiring questions they usually cite its own site, and that "who is best" answers lean on pages that already compare providers. We found no large independent study of MSP queries; the published tests come from a company that sells MSP marketing.
| Source | Who and when | What it found | Interest and limits |
|---|---|---|---|
| MSP Today probe | 10 buyer prompts on ChatGPT, Gemini, Claude and Perplexity with web search; one US MSP; article Aug 25, 2026 | The MSP appeared unprompted on 3 of 5 commercial queries and in 0 of 12 educational answers; when it appeared, the assistant usually cited its own domain. Every "who is best" citation traced to a source that had already made a comparative judgment | Author is CEO of NUOPTIMA, a growth agency selling AI search work to MSPs; the MSP is its client; he calls it "a probe rather than a study" |
| NUOPTIMA Dallas leaderboard | 368 Dallas MSPs; 4 commercial queries on ChatGPT and Gemini; 8 answers per firm; Aug 2026 | 7 of the 368 firms were ever cited by AI | Same agency; a sales page; query wording not listed. |
| Top Seed AI list study | "Best managed IT services for small business 2026", first eight results; Nov 1, 2026 | 2 distinct list pages, 1 written by a seller that lists itself. Most results were guides or lists written by software companies selling something else | Our own check: one search tool, one day, one wording |
Our reading, not a measured finding: few independent "best MSP" lists exist for most cities and industries, so your own pages and the directories that compare providers carry most of the load. A page naming your city, industries and frameworks gives an assistant something to match; "we deliver IT solutions" does not.
How to check: ask three of your buyer questions in Perplexity or ChatGPT with search, open every cited page, and sort them: your site, competitors, directories, media, vendors.
Which directories, lists and partner pages matter for an MSP?
Google Business Profile, Clutch, G2, UpCity and Expertise.com city pages, the industry lists, and vendor partner directories are the third-party pages most likely to describe an MSP. Each works differently, and several sell placement.
| Source | What it is | Paid placement? | What to do |
|---|---|---|---|
| Google Business Profile | Google's local listing | Not applicable | Service-area businesses should hide their address; a virtual office is not eligible unless staffed during business hours, and coworking offices need clear signage |
| Clutch | Reviewed MSP profiles with minimum project size, hourly rate, team size and industries | "We may earn a fee for some placements"; some cards labeled Sponsored or Featured | Fill in rates and industries to match your site; ask clients for reviews |
| G2 (Managed IT Services) | 962 listed providers; inclusion requires monitoring, on-demand support and IT consulting | G2 says rankings involve no paid placement or vendor influence | Claim the listing; collect verified reviews |
| UpCity (MSPs) | 918 US providers with industries, minimum project and monthly spend | Sponsor tiers; UpCity says it earns compensation from sponsored profiles. List last updated Jan 21, 2025 | Keep profile facts current |
| Expertise.com | City pages; Austin picks 14 MSPs from 40 reviewed, scored on more than 25 variables (updated Nov 4, 2026) | Some listings carry "Featured Provider" | Check facts; answer mystery-shopping calls |
| CRN MSP 500 | Annual list from The Channel Company (2026 list Feb 12); its Pioneer 250 section covers MSPs focused on small and midsize businesses | Application-based | Apply when it opens if you qualify |
| MSP 501 | Annual ranking run by MSP Summit, backed by Informa (2026 list Jun 12); survey data Feb to May 2026, weighing recurring revenue, profit margin and other factors | Survey-based | Decide whether to share the data it asks for |
| Microsoft Marketplace "Connect with partners" | Partner directory built from Partner Center business profiles, with service type (including managed services), industry focus and earned designations | Requires qualified partner status; earned designations show automatically | Complete every tag; updates appear within 72 hours |
| Vertical software partner directories | For example, Clio's certified consultants for law firms | Clio says certification covers Clio proficiency, not consulting skills | List where your niche's core software lists IT partners |
| Cyber AB CMMC Marketplace | Lists authorized C3PAOs (the organizations that conduct CMMC certification assessments) and Registered Provider Organizations | Requires Cyber AB status | List only the status you actually hold |
How to check: open your Clutch, G2, UpCity and Expertise.com profiles beside your site. Do the city, industries, team size and price fields agree? Fix the outliers first.
Which compliance pages should an MSP publish?
An MSP should publish one dated page for each compliance framework its clients actually face, answering the buyer's question and limited to what it really does. These questions are specific and high-stakes, which makes them strong page topics (our reasoning), and the official rules moved in 2025 and 2026.
| Framework | Buyer's question | What the official source says (checked Nov 6, 2026) | What your page should state |
|---|---|---|---|
| HIPAA | "Will you sign a BAA?" | HHS defines a business associate as an entity whose services for a covered entity involve creating, receiving, maintaining or transmitting protected health information (PHI). It says a cloud provider handling electronic PHI is one "even if" it stores only encrypted data without the key, and a business associate agreement (BAA) is required. HHS "does not endorse or otherwise recognize private organizations' 'certifications'". Proposed Security Rule changes (Jan 6, 2025) are still a proposal | That you sign BAAs, which services they cover, what the practice still owns. Never "HIPAA certified" |
| CMMC | "Does our MSP need to be certified?" | The Defense Department (now styled the Department of War on its CMMC pages): Phase 1 began Nov 10, 2025; Phase 2 was suspended on July 13, 2026, and "All Phase I self-assessment requirements remain firmly in place". Its FAQ says external service providers "do not require their own CMMC certification" and are assessed as part of the client's assessment | Your role, a shared-responsibility matrix, the current status with a date. Never "CMMC certified" unless you passed a certification assessment |
| SOC 2 | "Can you send your SOC 2 report?" | The AICPA describes SOC reports as services CPAs provide to help users assess the risks of outsourcing; SOC 2 covers controls relevant to security, availability, processing integrity, confidentiality or privacy | Whether you have a report, its type and period, and how to request it, or plainly that you do not |
| Cyber insurance | "Our insurer asked about these controls. Can you help?" | Marsh, an insurance broker, says insurers are "requiring specific cybersecurity controls" and that some are "now a minimum requirement for insurers" | Which application questions your service covers and what evidence you provide. Never promise coverage or premiums |
| FTC Safeguards Rule | "We prepare taxes. What does the Safeguards Rule require?" | Covers tax preparation firms, mortgage brokers and other financial businesses under FTC jurisdiction: a written information security program, a Qualified Individual, multi-factor authentication (MFA) and encryption, plus FTC notice within 30 days for events affecting 500 or more consumers (since May 2024). The IRS reminded tax pros in August 2026 to keep a written plan (Publication 5708 has a template) | What you implement, what the client must own, and how you document it |
Review every compliance page on a schedule: a CMMC page from early 2026 that says Phase 2 starts November 10, 2026 is now wrong, and an assistant quoting it repeats the error.
How to check: search your site for "CMMC" and "HIPAA certified" today.
Should an MSP publish its prices?
Yes, an MSP should publish its prices, in our reading: "how much does managed IT cost per user" is a question buyers ask assistants directly, and a dated page with your price basis, ranges and inclusions gives the buyer and the assistant something concrete to repeat.
Buyers already see numbers elsewhere. When we searched that question on November 6, 2026 (one search, one day), results were mostly cost guides, many by IT providers, and Clutch and UpCity profiles show hourly rates, minimum project sizes and minimum monthly spend. Make your site and every profile agree.
A useful pricing page states:
- The price basis: per user, per device, flat monthly, or a mix.
- A starting price or range, and what moves it: users, sites, compliance scope, after-hours coverage.
- What is included: help desk hours, monitoring, patching, backup, security tools, planning meetings.
- What costs extra: projects, hardware, licenses, onboarding.
- Terms: contract length, minimums, exit terms and notice.
- The date it was last reviewed.
If you will not publish numbers, publish the basis and the variables; that still answers more than "call for pricing".
Should an MSP publish separate co-managed and fully managed pages?
Yes, an MSP should publish separate co-managed and fully managed pages, because the buyers differ: fully managed IT suits a business with no IT staff, co-managed IT one with internal IT that needs backup, tools or project help. One combined page answers neither well (our reasoning).
A co-managed page should show who does what. An illustrative split, to adapt:
| Task | Internal IT | MSP |
|---|---|---|
| First-line help desk | Yes | Overflow and after-hours |
| Patching and monitoring | Approves | Runs the tools |
| Security monitoring and response | Informed | Leads |
| Projects and migrations | Owns scope | Delivers |
| Vendor and license management | Owns | Advises |
Add who holds admin rights, escalation paths, the price basis, and what happens if the internal IT person leaves. A fully managed page should state response times, scope limits and onboarding.
How should MSPs use reviews and case studies?
MSPs should ask every client the same way for reviews on the sites buyers check, disclose any relationship, and publish case studies only with written consent and without details an attacker could use.
- Ask everyone, reward no one for praise. The FTC's Consumer Reviews and Testimonials Rule (effective Oct 21, 2024) bans fake reviews and incentives conditioned on positive sentiment. Google bans any incentive for reviews and selective solicitation of positive ones.
- Disclose insiders. Reviews from employees or agents need the relationship disclosed under the FTC rule, and Google removes conflict-of-interest reviews.
- Get written consent for named case studies and logos. Check your contract's confidentiality terms, and the BAA for a healthcare client.
- Describe outcomes, not configurations. Our reasoning: naming a client and describing its firewall, backup gaps or past incident tells attackers where to look. "Cut ticket backlog from three weeks to two days for a 60-person law firm" (an illustrative line) helps buyers; a network diagram does not.
- Ask for specifics. A review that says "handled our CMMC self-assessment prep" tells an assistant what you do. Do not script it.
How to check: count your reviews on Google, Clutch and G2; if one site has most, point the next five clients to the others.
What should an MSP do in the first 90 days?
An MSP should spend the first month measuring and fixing facts, the second publishing a few strong pages, and the third aligning listings and re-testing. No one knows how long changes take to appear in AI answers, so judge progress only by repeating the same questions.
- Days 1-30: write 15-20 buyer questions, run each 3 times on 2-3 assistants, fix wrong facts and listings
- Days 31-60: publish two industry pages, dated compliance pages, a pricing page and service-model pages
- Days 61-90: align Clutch, G2, UpCity and partner profiles, then rerun the same questions
Judge progress only by rerunning the same questions the same way.
Days 1 to 30: measure and fix facts
- Write 15 to 20 buyer questions without your name, mixing city, industry, compliance, cost and service model.
- Ask each in fresh chats on two or three assistants, three times on different days, and record who is named and which sources appear (How We Test).
- Ask "What does [your company] do, and who is it for?" and list wrong facts.
- Check Google Business Profile (service area, no virtual office), Clutch, G2, UpCity, Expertise.com and your Partner Center profile against one fact sheet, and add "Did you ask an AI assistant?" to your intake form.
Days 31 to 60: publish the pages
- Write two industry pages for your strongest verticals, each naming your region and the frameworks you support.
- Publish one dated page per framework you genuinely support, a pricing page, and separate co-managed and fully managed pages.
- Set up a written consent form for case studies and a review request after onboarding.
Days 61 to 90: align listings, then re-test
- Update Clutch, G2 and UpCity fields (prices, industries, team size) to match your site.
- Complete your Microsoft partner profile tags and list in your vertical's software partner directories.
- Rerun the day 1 questions the same way. Made-up numbers to show the idea: named in 6 of 108 runs before and 10 of 108 after is a small change on a small sample.
- Schedule a quarterly review of every compliance page.
What should you ask if you hire help?
Before hiring help, ask how the provider measures results, whether it promises placement, and who verifies its compliance claims. Top Seed AI sells this work, so weigh our view accordingly.
Ask: How many questions and runs do you test? Will you ever post reviews or create profiles in our name? Will our engineers approve every compliance statement? Do you plan a page for every city? Anyone promising that ChatGPT will name you is selling what nobody controls. How to Choose an AI Visibility Agency has ten more questions.
What not to do
MSPs should avoid any tactic that fakes proof, overstates compliance or tries to game the answer; a company that sells security has more trust to lose than most (our reading).
| Tactic | Why it is risky | Source |
|---|---|---|
| Fake, insider or selectively requested reviews | FTC civil penalties for knowing violations; Google bans selective requests and removes the reviews | FTC 16 CFR Part 465; Google contributed content policy |
| "HIPAA certified" badges | HHS does not recognize private HIPAA certifications; the claim misleads buyers | HHS Security Rule FAQ |
| "CMMC certified" without a certification assessment, or stale CMMC dates | Misstates your status; CMMC Phase 2 was suspended on July 13, 2026 | DoD CIO CMMC pages |
| One page per suburb, or AI-written pages for every city, industry and framework | Google treats these as doorway abuse or scaled content abuse | Google spam policies |
| A virtual office or fake address in Google Business Profile | Not eligible for a profile; risks suspension | Google business representation guidelines |
| A "best MSPs in [city]" list on your own site, you first, presented as independent | Misleads buyers; the FTC rule bars misrepresenting that a site you control gives independent reviews or opinions | Our Nov 1, 2026 study; 16 CFR §465.6 |
| Hidden text, or "Summarize with AI" links that plant "remember us" instructions | Google treats hidden text as spam; Microsoft classes memory-planting prompts as AI recommendation poisoning and found one example from a security vendor | Google spam policies; Microsoft Security, Feb 10, 2026 |
| Buying links or paid guest posts for rankings | Google treats it as link spam | Google spam policies |
| Case studies that reveal a client's security setup | Gives attackers a map and may breach the contract | Our reasoning |
Questions people ask
How do businesses find an MSP today?
Through referrals, search, directories and AI assistants; we found no reliable survey of the split. In one small published test, assistants that named the MSP usually cited its own pages, and "who is best" answers leaned on sources that compare providers. A buyer given a name will usually check your site and reviews next (our reading).
Is Clutch worth it for an MSP?
An accurate, reviewed Clutch profile is worth keeping: Clutch compares providers, the kind of source assistants leaned on for "best" questions in one published MSP test. Clutch says it may earn a fee for some placements and labels sponsored entries, so spend first on reviews and accurate fields.
Does an MSP need CMMC certification to serve defense contractors?
Not by itself. The DoD's CMMC FAQ says external service providers "do not require their own CMMC certification" and are assessed as part of the client's assessment, though an MSP may choose to be assessed. As of November 2026, Phase 2 of CMMC is suspended, and Phase 1 self-assessment requirements remain in place.
Should an MSP publish pricing on its website?
Yes, at least the price basis and a range. Buyers ask what managed IT costs per user, and a dated page with inclusions and extras gives them and assistants a concrete answer. Keep the numbers consistent with your Clutch, G2 and UpCity profiles.
